For many Malaysian SMEs, the “CRM” is a mix of WhatsApp groups, a shared Google Sheet and each salesperson's phone contacts. When a salesperson leaves, their customers and quote history often leave with them. When the boss asks how many deals are open this month, someone spends an afternoon building a spreadsheet. A CRM solves this, but only if it is set up for how Malaysian teams actually sell: on WhatsApp, in several languages, with a lot of repeat business. This guide explains how to approach CRM for a Malaysian SME, which platforms to consider, and what it costs.
Signs your business needs a CRM now
- Enquiries come from WhatsApp, Facebook, your website and email, and nobody can see them all in one place.
- Quotes are sent but not followed up because there is no reminder system.
- Customer history sits on individual phones, so handovers between staff are painful.
- Management reports are built manually every month.
- You are hiring more salespeople and need a consistent process for them to follow.
Choosing a CRM platform in Malaysia
We are platform-neutral and work with Zoho, HubSpot, Salesforce and Pipedrive. Each fits a different kind of business.
Zoho CRM
A popular choice for Malaysian SMEs because it offers a full feature set at a moderate licence cost and connects to Zoho's accounting, inventory and helpdesk apps. It suits trading companies, distributors and service businesses that want to grow into a wider system over time.
HubSpot
Strong when marketing and sales need to work together, for example when you run campaigns, landing pages and email newsletters alongside a sales team. It is easy for staff to pick up, but licence costs increase as you add seats and higher tiers.
Salesforce
The most customisable platform, often used by larger companies or Malaysian subsidiaries of multinational groups. It is worth it when you need complex approval flows or must align with a parent company's system.
Pipedrive
A clean, visual deal pipeline for small teams who mainly need to track deals and follow-ups without much configuration.
What a CRM implementation covers
Buying licences is the easy part. Our implementation includes:
- Mapping your sales process, from first enquiry to quotation, order and repeat purchase.
- Designing pipelines, stages and fields, including fields that matter locally such as preferred language and customer state or region.
- Cleaning and importing contacts, companies and open deals from spreadsheets or an old system.
- Connecting enquiry channels, especially WhatsApp, so new leads are created automatically.
- Automating assignment, follow-up tasks and quote reminders.
- Building dashboards for management and salespeople.
- Recorded training videos and short written guides, including for new hires.
Multilingual teams and customers
Many Malaysian businesses serve customers in English, Bahasa Malaysia and Chinese. We set up language fields and routing so enquiries go to the right salesperson, and we can prepare email and message templates in each language your team uses.
PDPA 2010 and your CRM
Malaysia's Personal Data Protection Act 2010 (PDPA) governs how commercial organisations handle personal data, and it was amended by the Personal Data Protection (Amendment) Act 2024. Under the amended rules in force from June 2025, organisations must notify the Personal Data Protection Commissioner of certain data breaches, and organisations meeting the relevant thresholds must appoint a Data Protection Officer. Data subjects also gained a right to data portability.
A CRM is where much of this personal data lives, so we build in:
- Consent and source fields to record how and why each contact was collected.
- Role-based access so staff only see the records they need.
- Clear processes for correcting or removing personal data on request.
Your company remains responsible for its compliance. For specific legal questions, consult your DPO or a legal adviser.
What it costs in Malaysia
Prices are shown in your local currency on this site. The figures below are for Zoho-based implementations; pricing for HubSpot, Salesforce and Pipedrive varies by platform because setup effort differs.
- CRM Starter (up to 5 users): RM2,900 setup + RM320/month.
- CRM Standard (up to 15 users): RM7,800 setup + RM810/month.
- CRM Advanced (larger teams, multiple pipelines, integrations): from RM19,500.
Software licences are paid directly to the CRM vendor. If you also need inventory, purchasing and accounting in one system, our ERP Starter package on Zoho or Odoo is RM6,150 setup + RM490/month. Bundling two main setup items gives 10% off; three or more gives 15% off.
Timeline
CRM Starter usually takes about 2 weeks and CRM Standard about 3 weeks, counted from when your data and access are ready. The rush option adds 20% to the setup fee and roughly halves the timeline.
How we deliver
Leotech works fully online, so your team does not need to attend long workshops. We gather requirements by text or WhatsApp, share progress with screenshots and short recordings, and confirm each step in writing. - 20% deposit to start.
- 60% at launch.
- 20% after sign-off.
Monthly fees are billed at the start of each period with no lock-in. Contracts and invoices for Malaysian clients are issued by AETHER INT'L ENTERPRISE CO., LIMITED in Hong Kong.
FAQ
Our salespeople only use WhatsApp. Will they actually use a CRM?
Adoption is the main risk, which is why we connect WhatsApp to the CRM rather than asking staff to copy chats by hand. When leads and reminders appear automatically, the CRM saves time instead of adding work.
Can we start small and expand later?
Yes. Many clients start with CRM Starter for a few users and upgrade once the process is working. We design the structure so it can grow.
Can you migrate data from our old system or spreadsheets?
Yes. Data cleaning and import are part of every implementation. We remove duplicates and standardise company names and phone formats before import.
Who owns the system?
You do. Licences are in your company's name, and you keep full admin access and your data regardless of whether you continue a monthly plan with us.
