For many UK SMEs, the sales process lives in Outlook folders, a shared spreadsheet and the heads of two or three key people. It works until someone leaves, a big tender lands at the same time as a busy quarter, or a director asks how many quotes are actually open and nobody can say. A CRM gives you one reliable view of every enquiry, quote and customer, but only if it is implemented around how your team really works. This guide explains what that involves, how long it takes and what it costs.
Signs your business has outgrown spreadsheets
- Enquiries from the website, phone, email and LinkedIn are tracked in different places, or not at all.
- Follow-ups depend on individual reminders, so quotes go cold without anyone noticing.
- You cannot easily see which marketing channels produce paying customers.
- Handovers between sales, operations and accounts involve copying details by hand.
- Responding to a subject access request would mean searching several inboxes and files.
If two or more of these sound familiar, a CRM is likely to pay for the effort.
Choosing a platform
We are platform-neutral, and the best choice depends on team size, budget and how complex your sales process is.
Zoho CRM
Strong value for teams of up to around 30 users. Flexible, well integrated with Zoho's finance and support apps, and capable of serious automation. It needs a little more initial training than some alternatives.
HubSpot
Easy to adopt, with excellent email tracking and marketing tools. A good fit when sales and marketing need to share one system. Costs rise quickly as you add seats and higher tiers, so scope carefully.
Salesforce
The most flexible and scalable, suited to complex processes, multiple teams or businesses planning significant growth. It costs more to licence and configure, and is often more than a small team needs.
Pipedrive
Simple and visual, ideal for small sales teams who mainly need a clear deal pipeline.
During the free diagnosis we recommend one option and explain the reasoning, including licence costs you would pay directly to the vendor.
What implementation covers
- Designing pipeline stages around how you quote, win and deliver work.
- Cleaning, de-duplicating and importing contacts, organisations and open deals.
- Connecting website forms, email and chat so enquiries create records automatically.
- Automating follow-up tasks, reminders and notifications for stalled deals.
- Quote and email templates in British English, with VAT handled in quote templates where the platform supports it.
- A dashboard showing pipeline value, win rates and enquiry sources.
- Role-based training material and a support period after launch.
UK GDPR and your CRM
A CRM is a store of personal data, so the UK GDPR and the Data Protection Act 2018 apply. The practical points we build into every project are:
- Lawful basis. Record why you hold each type of contact, for example legitimate interests for B2B prospects or contract for customers.
- Data minimisation. Only create fields you genuinely need.
- Access controls. Give users permissions that match their role.
- Retention. Agree how long inactive records are kept and set up a review process.
- Rights requests. Make sure you can find, export, correct or delete a person's data quickly.
If you send marketing emails from the CRM, the Privacy and Electronic Communications Regulations (PECR) also apply. The Data (Use and Access) Act 2025 amends parts of UK GDPR and PECR, including increasing the maximum fines for PECR breaches, so it is worth checking your consent and opt-out handling. We set up consent fields and unsubscribe handling as part of the build. This is general information rather than legal advice.
Timelines
Counted from when we have your data and system access:
- CRM Starter (up to 5 users): about 2 weeks.
- CRM Standard (up to 15 users): about 3 weeks.
- CRM Advanced: scoped individually.
A rush option roughly halves the timeline for an additional 20% on the setup fee.
What it costs in the UK
Prices are shown in pounds sterling. CRM licences are paid directly to the vendor.
- CRM Starter (up to 5 users): RM2,900 setup + RM320/month.
- CRM Standard (up to 15 users): RM7,800 setup + RM810/month.
- CRM Advanced: from RM19,500 setup.
Implementation pricing varies by platform; HubSpot and Salesforce generally cost more to configure than Zoho. The monthly fee covers support, small changes and automation adjustments, with no lock-in. Combine two main services, such as CRM and AI customer service, and setup fees are 10% off; three or more and it is 15% off.
How we deliver
We work entirely online by WhatsApp, email or text, so there is no need to clear diaries for meetings. You start with a free diagnosis within 24 hours. Once you approve the scope, a 20% deposit starts the project, 60% is due at launch and the final 20% after sign-off. Monthly fees are billed at the start of each period. For overseas clients, contracts and invoices are issued by AETHER INT'L ENTERPRISE CO., LIMITED, Hong Kong.
Our team uses AI tools to speed up configuration, data cleaning and documentation, and every stage is checked by a person before it reaches you.
FAQ
Can we keep using Outlook or Gmail?
Yes. All the platforms we work with integrate with Microsoft 365 and Google Workspace, so emails can be logged against contacts automatically.
Where will our data be stored?
This depends on the vendor and plan. Several offer UK or EU data centres. Where data is processed outside the UK, you will need appropriate transfer safeguards, and we help you confirm what your chosen vendor provides.
How do you get the team to use it?
We keep the system lean, connect enquiry channels so the CRM is the natural place to work, and provide short, role-specific training. A weekly pipeline review routine also helps the habit stick.
Can you take over a CRM someone else set up?
Yes. We often audit and tidy up existing setups, then move into monthly support.
