Hong Kong trading and service companies often run lean teams that handle a lot: overseas buyers on email, suppliers and partners on WeChat, local clients on WhatsApp, and quotations in several currencies. Information ends up scattered across inboxes, phones and spreadsheets. When a merchandiser goes on leave or a salesperson leaves, follow-ups are missed and nobody is sure what was promised to whom. A CRM brings this together, but only if it is designed around the way your company actually trades. This guide explains how CRM implementation works for Hong Kong companies, how to choose a platform and what it costs.
Common CRM challenges for Hong Kong companies
- Long, multi-step deals. Trading deals move from enquiry to sampling, quotation, order, production follow-up and shipment. Generic sales pipelines do not fit.
- Many channels. Email, WhatsApp and sometimes WeChat all carry part of the conversation.
- Multiple currencies. Quotes may be in HKD, USD, EUR or RMB depending on the customer.
- Small teams, high turnover. When knowledge lives in one person's inbox, every resignation is a risk.
- No time for long projects. Owners want a working system, not months of workshops.
Choosing a CRM platform
We are platform-neutral and implement Zoho, HubSpot, Salesforce and Pipedrive. The right choice depends on your team, budget and how much customisation you need.
Zoho CRM
Good value for small and mid-sized trading companies. It supports multiple currencies, custom modules and connects to Zoho's accounting and inventory apps, which helps if you want quotes, orders and invoices linked.
HubSpot
Well suited to service companies and firms that rely on inbound marketing: website forms, email campaigns and content. It is easy to adopt, though licence costs grow with seats and tiers.
Salesforce
The most flexible platform, common among regional headquarters and companies with complex processes or a group-wide Salesforce standard.
Pipedrive
A straightforward visual pipeline for small teams that mainly need deal tracking and reminders.
What our implementation includes
- Mapping your process from enquiry through sampling, quotation, order and after-sales.
- Designing pipelines and stages that reflect how your deals really move, including separate pipelines for different business lines if needed.
- Setting up multi-currency quoting and product or price lists.
- Cleaning and importing customer, supplier and deal data.
- Connecting email and WhatsApp so conversations are logged against the right contact.
- Automations for assignment, follow-up tasks, sample reminders and stale-deal alerts.
- Management dashboards showing pipeline value, conversion and follow-up gaps.
- Recorded training and short written guides in English, with Chinese guides available on request.
Connecting to the rest of your operations
Many Hong Kong trading companies also need inventory, purchasing and accounting connected to sales. If that applies to you, a Zoho or Odoo ERP can sit alongside the CRM so an accepted quote can flow through to purchase orders and invoices without retyping.
PDPO considerations
A CRM stores personal data such as names, phone numbers and email addresses, so the Personal Data (Privacy) Ordinance (Cap. 486), known as the PDPO, applies. The PDPO sets out six Data Protection Principles covering how personal data is collected, kept accurate, used, secured and made accessible. It also has specific rules on direct marketing: you generally need the individual's consent before using their personal data for direct marketing, and you must honour opt-out requests. In a CRM setup, we:
- Add fields to record how each contact was collected and whether marketing consent was given.
- Set role-based access so staff only see what they need.
- Create a simple process for handling data access and correction requests.
- Build opt-out handling into email and messaging workflows.
Your company remains responsible for PDPO compliance. For specific legal questions, consult a legal adviser or refer to guidance from the Office of the Privacy Commissioner for Personal Data.
What it costs in Hong Kong
Prices are shown in your local currency on this site. Figures below are Zoho-based; pricing for HubSpot, Salesforce and Pipedrive varies by platform.
- CRM Starter (up to 5 users): S$1,200 setup + S$130/month.
- CRM Standard (up to 15 users): S$3,150 setup + S$330/month.
- CRM Advanced (larger teams, multiple pipelines, custom integrations): from S$7,850.

FAQ
Can the CRM handle quotes in different currencies?
Yes. Zoho, HubSpot and Salesforce all support multiple currencies, though availability depends on your plan. We configure currencies, price lists and quote templates during setup.
Our team works mostly by email. Is a CRM still useful?
Yes. Email integration logs messages against contacts and deals, so anyone on the team can see the full history and pick up a follow-up.
Can you work with a CRM we already have?
Yes. We often audit and rebuild existing setups that never gained traction, rather than switching platforms.
Who owns the system and data?
Your company does. Licences are in your name and you keep full admin rights and data access at all times.
