Australian customers expect quick answers, and they increasingly ask their questions outside business hours. For a small team, that often means enquiries sitting overnight, or staff answering the same questions about pricing, delivery times and minimum orders again and again. AI customer service can take the first response off your team's plate, but only if it is set up carefully, knows when to hand over to a person, and respects Australian privacy rules. This article explains how we approach it.
What AI customer service actually does
We build AI customer service on respond.io, a messaging platform that brings web chat, WhatsApp, email, Facebook Messenger and Instagram into one shared inbox. An AI agent sits on top of that inbox and:
- Answers common questions from a knowledge base you approve, such as product details, lead times, delivery areas and returns.
- Asks qualifying questions, for example quantity, deadline and delivery postcode, before passing an enquiry to sales.
- Captures contact details and the enquiry into your CRM so nothing is lost.
- Routes conversations to the right person or team based on topic, language or customer type.
- Hands over to a human whenever it is unsure, the customer asks for a person, or the conversation needs judgement.
Your team still owns the relationship. The AI handles the repetitive first step and makes sure every enquiry arrives with the context your staff need.
Choosing channels for an Australian audience
Web chat
The most common starting point. A chat widget on your website catches visitors while they are comparing suppliers, which is often when they are most ready to enquire.
Popular with trade customers, importers and businesses that deal with overseas suppliers or multicultural customer bases. WhatsApp Business messaging has its own template and opt-in rules, which we configure as part of the setup.
Still essential for B2B. Connecting your enquiries inbox means the AI can triage, draft replies for review, or answer routine questions directly, depending on how much control you want.
Ethergifts Singapore, one of our client sites, connected WhatsApp enquiries to an AI customer service setup so that first responses and enquiry capture happen consistently, with the sales team picking up qualified conversations.
Privacy Act and Spam Act basics
An AI agent collects personal information, so your obligations under the Privacy Act 1988 and the Australian Privacy Principles apply if your business is covered by the Act. A few practical points we build in:
- Be clear it is an automated assistant. Customers should know when they are talking to AI and how to reach a person.
- Collect only what you need. The bot asks for the details required to handle the enquiry, not everything it could ask.
- Update your privacy policy. It should explain that chat conversations are recorded, which platforms process them and that some data may be stored overseas.
- Consent for marketing. Follow-up marketing messages by email or SMS must meet the Spam Act 2003, including consent, sender identification and an easy way to unsubscribe.
Changes made by the Privacy and Other Legislation Amendment Act 2024 also introduce transparency requirements for automated decision-making, which start in December 2026. If your chatbot or CRM uses personal information to make decisions that could significantly affect someone, your privacy policy will need to say so. For most enquiry bots that simply answer questions and pass leads to staff, the impact is limited, but it is worth reviewing. This is general information, not legal advice.
Designing the human handoff
The handoff is where AI customer service succeeds or fails. We agree the rules with you before launch, such as:
- Any request for a quote above a set quantity goes straight to sales.
- Complaints, refunds and anything emotional go to a person immediately.
- If the AI cannot find an answer in the knowledge base, it says so and passes the conversation on, rather than guessing.
- Outside business hours, the AI collects details and confirms when someone will reply.
We also review conversations in the first weeks after launch and adjust the knowledge base where answers were missing or unclear.
What it costs in Australia
Prices are shown in Australian dollars. respond.io and messaging fees are paid directly to the platform.
- Basic (1 channel, 1 AI agent, knowledge base of up to 50 questions): {22000} setup + {2500}/month.
- Standard (up to 4 channels, enquiry capture into your CRM, routing rules): {48000} setup + {5000}/month.
- Advanced (multiple agents, complex routing, custom integrations): from {98000} setup.
The monthly fee covers knowledge base updates, conversation reviews and adjustments. There is no lock-in. Combining AI customer service with a CRM implementation earns 10% off the setup fees, or 15% with three or more main services.
How we deliver
A typical AI customer service setup takes about 2 weeks from when we receive your materials and access. We work entirely online by WhatsApp, email or text, so there is no need to schedule meetings. It starts with a free diagnosis within 24 hours. You pay a 20% deposit to begin, 60% at launch and the final 20% after you sign off. Monthly fees are billed at the start of each period. Overseas contracts and invoices are issued by AETHER INT'L ENTERPRISE CO., LIMITED, Hong Kong. If you need to go live quickly, the rush option roughly halves the timeline for an extra 20% on the setup fee.
FAQ
Will the AI make things up?
We restrict the agent to your approved knowledge base and instruct it to hand over when it does not know. Our team tests it against real questions before launch and reviews conversations afterwards.
Can it work with our existing CRM?
Yes. respond.io connects with HubSpot, Zoho, Salesforce and others, and we can use webhooks or custom integrations where needed.
Do we need WhatsApp Business already set up?
No. We can set up the WhatsApp Business API connection through respond.io as part of the project. You will need access to your business's Meta account for verification.
Who answers when the AI hands over?
Your own staff. The AI routes the conversation, with a summary, to the right person in the shared inbox or on their phone.
