Ask a US small business owner where their sales pipeline lives and the answer is often "in my inbox." Leads come in through web forms, phone calls, trade shows, LinkedIn and referrals, and they get tracked in a spreadsheet, a notebook or not at all. When a rep leaves or the busy season hits, deals quietly fall through. A CRM solves this, but only if it's set up around how your team actually sells. Here's what a practical CRM implementation looks like, how long it takes and what it costs.
Common reasons CRM rollouts fail
- Overbuilt from day one. Dozens of required fields and stages make reps avoid the system.
- Messy imported data. Duplicates and outdated contacts make people distrust the CRM immediately.
- Channels left outside. If web forms, email and chat inquiries don't flow in automatically, the CRM never becomes the source of truth.
- No routine. Without a weekly pipeline review, the habit never sticks.
A good implementation addresses each of these before launch. It also starts with a short list of questions the CRM must answer for management, such as how many quotes are open, which lead sources convert and which deals haven't been touched in two weeks. Every field and automation should support one of those answers; anything else can wait.
Choosing the right platform
We're platform-neutral. The right choice depends on your team size, budget and how complex your sales process is.
Zoho CRM
Typically the most cost-effective option for small and growing teams. It's highly customizable, includes strong automation and integrates with Zoho's accounting and support apps. Expect a little more training up front.
HubSpot
Easy to adopt, with excellent email tracking and built-in marketing tools. A great fit when sales and marketing need to share data. Costs can climb quickly as you add seats and upgrade tiers.
Salesforce
The most powerful and flexible option, suited to complex processes, multiple teams or rapid growth. It has the highest licensing and configuration costs, and it's often more than a five-person team needs.
Pipedrive
Simple, visual and deal-focused. Ideal for small sales teams that mainly need a clear pipeline.
In your free diagnosis, we'll recommend one platform and explain why, including the license costs you'd pay directly to the vendor.
What's included in an implementation
- Pipeline stages designed around how you quote and close deals.
- Cleaning, de-duplicating and importing contacts, companies and open deals.
- Connecting web forms, email and chat so every inquiry creates a record automatically.
- Automated follow-up tasks, reminders and alerts for stalled deals.
- Quote and email templates, with sales tax fields where the platform supports them.
- A dashboard for pipeline value, win rates and lead sources.
- Role-based training videos and guides, plus post-launch support.
Privacy and messaging rules to keep in mind
The US doesn't have a single federal privacy law for businesses, but a growing number of states have comprehensive consumer privacy laws, including California's CCPA as amended by the CPRA. These laws apply based on thresholds such as revenue or the volume of consumer data you handle, so many small businesses aren't covered. Even so, it's worth building good habits into your CRM: collect only what you need, control who can see what, and be able to find, correct or delete a person's record on request.
If you use your CRM to send marketing, two federal laws matter. The CAN-SPAM Act sets rules for commercial email, including accurate sender information and a working unsubscribe option. The Telephone Consumer Protection Act (TCPA) generally requires prior express written consent before sending marketing text messages using automated systems. We set up consent fields and opt-out handling as part of the build. This is general information, not legal advice.
Timelines
Counted from when we have your data and system access:
- CRM Starter (up to 5 users): about 2 weeks.
- CRM Standard (up to 15 users): about 3 weeks.
- CRM Advanced: scoped individually.
Need it faster? A rush option roughly cuts the timeline in half for an additional 20% on the setup fee.
What it costs in the US
Prices are shown in US dollars. CRM licenses are billed separately by the vendor.
- CRM Starter (up to 5 users): A$1,900 setup + A$210/month.
- CRM Standard (up to 15 users): A$5,050 setup + A$520/month.
- CRM Advanced: from A$12,600 setup.
Implementation pricing varies by platform; HubSpot and Salesforce projects generally cost more to configure than Zoho. The monthly fee covers support, small changes and automation tweaks. There's no long-term contract. Bundle CRM with another main service, such as AI customer service or a new website, and setup fees are 10% off; bundle three or more and it's 15% off.
How we deliver
We work entirely online via WhatsApp, email or text, so there's no need to book calls or meetings. You start with a free diagnosis delivered within 24 hours. Once you approve the scope, a 20% deposit kicks off the project. The next 60% is due at launch and the final 20% after you sign off. Monthly fees are billed at the start of each period. For overseas clients, contracts and invoices are issued by AETHER INT'L ENTERPRISE CO., LIMITED in Hong Kong.
Our team uses AI tools to speed up configuration, data cleanup and documentation, and a person reviews every stage before it reaches you.
FAQ
Can you move our data from spreadsheets or another CRM?
Yes. We clean, de-duplicate and import your data, and you review a sample before the full import to confirm the field mapping.
Does it work with Gmail and Outlook?
Yes. All the platforms we implement integrate with Google Workspace and Microsoft 365, so emails can be logged to contacts automatically.
We already pay for HubSpot. Can you fix our setup?
Absolutely. We regularly audit and clean up existing CRMs, then provide ongoing monthly support.
How do you make sure the team actually uses it?
We keep the setup lean, route every inquiry into the CRM and give each role short, focused training. We also help you set up a simple weekly pipeline review.
